About the role

Job title: Editorial Assistant

Accountable to: Publications Director

Summary of the role: To oversee the day-to-day running of the flagship journal, the Journal of Child Psychology and Psychiatry (JCPP), and coordinate the annual ACAMH Awards programme. The role primarily involves actioning and planning specific and routine journal administrative tasks, as well as maintaining active correspondence with all parties to ensure the journal runs efficiently and effectively. It is an interesting role with ample opportunity to grow and will equip you with the necessary skills and knowledge to pursue future career in (STM) publishing.

Specific tasks and responsibilities:

  • Oversee the day-to-day running of the flagship journal – This involves checking and tracking submitted articles, overseeing potential delays, and maintaining active correspondence with authors, editors, and reviewers to ensure timely publication.
  • Working closely with the Triage team to assist their screening of incoming papers.
  • Tracking manuscripts on and off the system to ensure timely submission and decisions.
  • Keeping the journal pipelines updated, ensuring healthy movement and volume.
  • Responsible for tracking and compiling published or upcoming articles into issues including liaising with Editors to organise and ensure timely return of Editorials for each issue.
  • Check and prepare accepted manuscripts for production while making sure the author and editorial queries are addressed and any corrections are incorporated. Also field any publisher queries pre- or post-export.
  • Responsible for generating and coordinating the publication and promotions of annual reviewer and top reviewer lists, to ensure reviewers are recognised for their contributions.
  • Preparing meeting logistics, i.e. meeting bookings, documents, minutes etc.
  • Tracking and ensuring any action points are followed up and actioned.
  • Generate various reports of submissions, downloads, citations and usage on demand, as required.
  • Proactive in liaising with the ACAMH and Wiley Marketing teams for journal related activities, such as special issue call for papers, press releases, or other social media activities.
  • Contribute to the ACAMH Learning Portal, as required.
  • Responsible for liaising with Wiley and colleagues (as required) for regularly updating journal web pages.
  • Communicate with the agency and answer queries regarding manuscript processes or author/reviewer queries.
  • Cover for colleagues during leave or sickness and support broader ACAMH projects as required.
  • Support the Publication Director with any additional duties as required.

Skills and Exprience

The candidate should have great team-working skills to blend in with the small but busy publications team. This role requires someone who is meticulous and has a keen eye for detail. There is ample scope to grow within the role, therefore an enthusiastic, proactive attitude will greatly benefit the candidate and will be welcomed by the team.

Essential:

  • Legal right to work in the UK without requiring visa sponsorship.
  • Have excellent verbal and written communication skills and a sharp eye for detail.
  • Good numeracy and IT skills.
  • Excellent team-working skills to deal with people within the organisation and externally at all levels.
  • Proactive, resourceful and enthusiastic approach to work.
  • Diplomatic and assertive individual who is able to work with all stakeholders.
  • Be able to organise and prioritise numerous tasks and be able to work on their own initiative.
  • Be able to demonstrate good publishing awareness, the ability to learn quickly, and an eagerness and interest in learning more.

Desirable

  • Administrative experience.
  • Educated to a degree level
  • Proficiency in Microsoft Excel and maintaining spreadsheets.
  • Training or qualification in proof reading/copy editing.

Remuneration and benefits

This is a permanent position with 35 working hours per week (9-5 core time). Salary offered – £24K plus 5% employer pension contribution. 30 days of annual leave + 8 bank holidays and extra day of leave for birthday. The role is fully remote, with occasional in-person editor meetings and ACAMH events.
